Manager-LOA & Accommodations

Location: New York, NY, USA

This role manages the US employee leave of absence and accommodations processes and manages compliance with federal, state and local laws as well as company policies. This includes, but is not limited to, compliance with the Americans with Disabilities Act (ADA), the Family and Medical Leave (FMLA) Act, and similar state and local laws, as well as the company's short and long-term disability, military leave and parental leave policies. The role also manages global time off policies for all countries, with support from local benefits team members as needed.

The successful candidate enjoys interacting with managers and employees, and will provide proactive coaching, guidance and advice regarding leave claims, accommodation requests, return to work plans, and timely completion of required paperwork. In addition, the role requires close collaboration with HR Business Partners and Legal on complex cases. The role will also manage external third party vendor relationship with respect to the FMLA and the company's short and long term disability policies and overseeing delivery of vendor services.

Key Responsibilities:

• Advises and serves as main point of contact and subject matter expert for managers, employees and HR on all processes and procedures required for US leave of absence management and other accommodation requests, complex cases, and unique circumstances.

• Advises and serves as main point of contact for global time off polices. Responsible for implementing time-off policy changes, leveraging local team resources and working with other HR functions as needed.

• Manages and follows each step of the employee's leave of absence. Acts as liaison between employee and employer and ensures that proper paperwork is completed by both parties. Provides regular status reports on active cases to all stakeholders.

• Manages accommodation requests, and works with employees on the interactive process pursuant to the ADA, and applicable state and local laws. Approves accommodations, reviews reasonable alternative accommodations based on the details of each case.

• Communicates with managers on status of leave and accommodations and provides updates regarding return to work plans.

• Facilitates issue resolution with manager, employee, HR Business Partners and Legal as needed.

• Maintains proper documentation on all manager and employee interactions related to cases.

• Verifies employee HR system and payroll records are updated appropriately. Perform audits to ensure HR system and payroll leave information is correct and reconciled.

• Owns third party vendor relationship and oversees vendor responsibilities and deliverables for leaves of absence, requests for accommodations, workers compensation, and short and long term disability benefits claims. This includes generating and reviewing vendor reports and claim details.

• Remains current on federal, state, and local law requirements relating to leaves of absence and accommodations.

• As the process owner, recommends and implements process and quality improvements as needed, including changes to vendor responsibilities and contracts.

• Protects employee data and complies with all data privacy processes and regulations.

• Works with global head of benefits and regional benefits colleagues to agree, create, document and adhere to a high-level global framework for consistent tracking of leave and accommodation cases.

• Works with employees, payroll and third-party benefits administration vendor in collection of benefits premiums while employees are out on unpaid leave. Monitors benefits repayments and terminates benefits when appropriate for failure to pay.

Benefits Department

• Bachelor's degree required; Advanced degree and PHR/SPHR qualification preferred.• 5 to 7 years' experience administering leave of absence benefits and accommodation requests.• Knowledge and understanding of US federal, state and local employment laws and regulations including but not limited to FMLA, ADA and other disability laws, including New York and California leave laws.• Demonstrated problem solving, judgment and conflict resolution skills with the ability to provide high quality independent analysis, conclusions, and recommendations• Demonstrated success in managing outsourced 3rd party vendor relationships, contracts and deliverables• Highly team-oriented in working with all levels of employees, including senior managers• Ability to quickly build trusting relationships, gain credibility, and partner with leaders and peers• Ability to effectively manage conflict, stressful situations and competing priorities• Ability to handle sensitive and confidential situations, demonstrating integrity and maturing in all work matters• Superior written and verbal communication skills• Superior attention to detail• Proven planning, priority setting and time management skills
