Key Responsibilities
Executive Support
- Manage complex and ever-changing calendars, coordinating internal and external meetings across multiple time zones.
- Arrange extensive international and regional travel, including detailed itineraries, accommodation, transportation, and visa requirements.
- Prepare meeting materials, presentations, reports, and correspondence on behalf of senior management.
- Act as a key point of contact for internal and external stakeholders, maintaining strong professional relationships.
- Monitor priorities and proactively anticipate scheduling conflicts and business needs.
- Assist with the coordination and execution of business initiatives and special projects.
- Support day-to-day operational activities to ensure smooth business functions and efficient workflows.
- Track project timelines, action items, and deliverables, following up with relevant stakeholders where required.
- Coordinate with external vendors and service providers, ensuring timely delivery of services and maintaining relevant documentation.
- Assist with office management, procurement, and administrative processes as needed.
- Support the preparation of management reports, business updates, and operational presentations.
- Contribute to process improvements and identify opportunities to enhance efficiency across the business.
- Collaborate closely with senior management and various internal teams to support business objectives.
- Maintain a high level of professionalism and discretion when handling confidential information.
- Build strong working relationships across all levels of the organisation and with external partners.
- Degree holder or equivalent professional experience.
- Minimum 5 years' experience supporting senior executives, preferably within financial services, professional services, consulting, or other fast-moving corporate environments.
- Proven ability to manage multiple priorities and work effectively in a high-volume environment.
- Strong organisational and coordination skills with exceptional attention to detail.
- Proactive, resourceful, and capable of operating independently with minimal supervision.
- Excellent communication and interpersonal skills.
- Advanced proficiency in Microsoft Office, including Outlook, PowerPoint, Excel, and Word.
- Fluent English is essential; Cantonese and/or Mandarin would be advantageous.
