Title: Event Operations Planner (Specialist, Level 6) Location: Mexico City
Summary: The Journal of Commerce, a part of the Research, Advisory, and Specialty Solutions (RASS) division of S&P Global that produces data-based information, analysis, and events covering the global supply chain, is seeking an experienced Event Operations Planner to help manage client conferences, including our annual flagship maritime conference, TPM. The position sits in the Global Events team, which delivers various aspects of events and conferences. The role also includes working closely with the Sales, Audience Development and Programming/Editorial teams to deliver sponsor deliverables and manage events on-site. The role reports to the Senior Director of Marketing Operations for S&P Global Market Intelligence, and would be based in Mexico City .
General Job Duties: • Works directly with the Events Operations team on event planning, communication, execution • Responsible for tracking and managing deadlines around sponsor event deliverables. Serves as sponsor liaison and handles all communication with sponsors around contract deliverables, registration, and event details. • Responsible for creating and managing registration for large scale conferences, one-day seminars and briefings, creates and manages sponsor registrations • Responsible for pre-event operations for small roundtable events including venue sourcing, design requests, printing and shipping all materials • Responsible for generating design requests for signage, banners including proofing and tracking all necessary deadlines • Manages staff room blocks for events • Assists with venue sourcing for large-scale conferences including generating RFPs, organizing data and presenting findings to Operations Manager • Assists on-site event duties including delivering specific operations including general event set up, badge/bag assembly, assisting with registration, and supporting on site program team as needed • Reconciles with accounting all payments related aspects for these events, purchase order management • Works with the Executive Director of Sales and sales team to research new sponsorship ideas, pricing & specifications, managing all sponsorship reports, ensuring all deliverables are consistent • Responsible for maintaining sponsor page of the website
Specific Job Duties: • This role executes on event operations support and assisting the senior operations team with delivering the events. Always putting the customer first in every interaction. Accurate deadline and communication tracking required
Education: • College degree, preferably in hospitality or event management
Required Experience: • 3+ years event experience • Ability to manage multiple responsibilities and events simultaneously • Conference planning & exhibition experience required • Ability to work independently with minimal supervision • Excellent proofreading skills, oral and written skills • Social media promotional experience • Ability to learn and utilize Salesforce CRM, event APP platforms, Cvent (sourcing) & Aventri registration software • Ability to travel domestically & internationally as needed
